Summary
The Employee Benefits Associate is responsible for the day‑to‑day administration, coordination, and communication of the organization’s employee benefit programs for hourly, salaried, and executive employees. This role ensures accurate and timely processing of benefit enrollments, changes, and terminations, and serves as a primary point of contact benefit enrollment for employees, benefit carriers, and internal partners..
Essential Functions
Benefit Administration & Enrollment
- Administer all benefit enrollments, changes, and terminations for medical, dental, vision, life, disability, and supplemental plans.
- Maintain accurate employee benefit records in HRIS and carrier systems.
- Process qualifying life event changes in accordance with plan rules and regulatory requirements.
- Coordinate COBRA notifications and work directly with COBRA administrators to ensure compliance.
Employee Support & Communication
- Serve as the first tier resource for employee benefit questions, providing clear guidance on plan options, eligibility, and processes.
- Support Associate Total Rewards Manager with new hire benefit orientations, ensuring employees understand available benefits and enrollment timelines.
- Assist employees with claim issues by liaising with carriers and advocating for timely resolution.
Open Enrollment
- Support the Associate Total Rewards Manager with the annual open enrollment process, including timelines, communications, system setup, and employee support.
- Partner with carriers, vendors, and internal teams to ensure a smooth and accurate enrollment experience.
Compliance & Reporting
- Maintain compliance with federal and state regulations, including ACA, ERISA, HIPAA, COBRA, FMLA, and Section 125 requirements.
- Prepare and support regulatory filings, including ACA 1094/1095 reporting.
- Conduct regular audits of benefit enrollments to ensure accuracy.
- Maintain required plan documents, notices, and compliance records.
Vendor & Carrier Coordination
- Serve as a liaison with benefit plan carriers and third‑party administrators.
- Assist with carrier file feeds, discrepancy reporting, eligibility updates, and issue resolution.
- Support annual plan renewals and benefit changes by gathering data and coordinating communications.
HRIS, Reporting & Data Management
- Run and analyze benefit‑related reports for audits, compliance, and internal use.
- Maintain data integrity across HRIS, payroll, and carrier systems.
- Support payroll with benefit deduction setup, corrections, and reconciliation.
Administrative Support & Projects
- Assist the Associate Total Rewards Manager and Total Rewards Strategic Manager with ongoing administrative tasks, special projects, and process improvements.
- Support wellness initiatives, employee engagement activities, and benefit‑related communications.
- Participate in cross‑functional HR projects as needed.
Skills
- Experience in benefits administration or HR operations.
- Strong knowledge of benefit regulations and compliance requirements.
- Excellent communication, customer service, and organizational skills.
- Ability to manage confidential information with discretion.
- Proficiency with HRIS systems and Microsoft Office.
- Demonstrate exceptional analytical skills and ability to create useful and actionable reports from data.
- Highly organized with high attention to detail, able to use problem solving skills to resolve daily issues.
- Self-motivated and be able to work with minimal guidance within a high-volume environment.
- High level of accuracy in everyday work.
- Possess a creative outlook with a problem-solving attitude.
Required Education
- Associate degree with relevant HR/benefits experience
Coursework in HR management

Required Work Experience
- 2–3 years of experience in benefits administration, HR operations, or a related HR support role.
- Additional Experience that is helpful:
- Experience working with HRIS/benefits platforms (e.g., Workday, ADP, SAP SuccessFactors), Excel
- Prior involvement in open enrollment, benefits audits, or ACA reporting.
- Experience supporting hourly, salaried, and executive populations.
- Familiarity with federal and state benefit regulations (ACA, COBRA, ERISA, HIPAA, FMLA).
- Customer service or employee‑facing support experience.
The range for this position is $56,640.00 - $77,880.00 assuming full time status. Starting pay for the successful applicant is dependent on a variety of job-related factors, including but not limited to market demands, experience, training, and education. The benefits available for this position are dependent on hours worked and may include medical, dental, vision, 401(k) plan, variable bonus, life insurance coverage, disability benefits, and PTO.
